Role:Human Resources Assistant (Payroll Coordinator)

Location:Lenexa, KS

Responsibilities:

  • Maintain SAP Human Resources and ADP Workforce Now information systems.
  • Work closely with other resources in the HR functional area to ensure accuracy, consistency, and reliability of data.
  • Utilize HRIS, ADPWorkforce Now, and custom configured interface files to process, review, and transmit all HR, payroll, and time related information for bi-weekly payrolls for employees and Board of Directors.
  • Interpret and process Wage Garnishments, Bankruptcies, Tax Levies, and Child Support Orders.
  • Calculate/Process taxable fringe benefits; group term life, personal use of vehicles, service awards, etc.
  • Apply General Ledger cost codes to payroll, taxes, and deductions and utilize General Ledger Interface to upload data to the SAP Finance module.
  • Perform Quarterly and Year End close activities.
  • Ensure timely and accurate response to timekeeping and payroll inquiries from employees and management.
  • Coordinate and monitor annual performance appraisal process, including development of schedules, compilation, distribution, and monitoring of spreadsheets for managements use to include employee pay rates, pay grades, budget limitations, etc., monitor receipt of appraisal forms, and other associated activities.
  • Process all resulting hourly rate increases and lump sum merit payments.
  • Assist with efforts to configure, troubleshoot, maintain, and enhance SAP HRIS.
  • Conduct testing in development and quality assurance clients of SAP in an effort to resolve issues and validate viability and accuracy of configuration.
  • Create, update, analyze, and distribute routine and customized HR reports, including EEOC reports.
  • Process all personnel status changes, including new hires, reclassifications, terminations, retirements, etc.
  • Maintain and update SAP and ADP, personnel files, and other recordkeeping systems with current and accurate data.
  • Serve as back-up for on-boarding activities for all new employees including electronic communications and workplace orientation.
  • Collect and maintain I-9 documentation to confirm employment eligibility.
  • Utilize SAP Queries, ADP Workforce Now reports and custom reports, and other resources as necessary to research and respond to a variety of internal and external requests for information, data, and verification.
  • Assist in administration of the deferred compensation program by communicating with the deferred compensation provider and assisting employees.
  • Utilize providers secure website to upload detailed files of employee and employer contributions.
  • Coordinate communication of vesting information to the provider.
  • Process withdrawals and maintain all pertinent files.
  • Reconcile benefit provider invoices for accuracy and prepare self-billings as required; apply general ledger account codes, and prepare payment requests.
  • Function as back-up for administration of Family and Medical Leave.
  • Function as back-up for administration of COBRA.
  • Assist in the preparation of the Human Resources budget.
  • Assist with other HR functions and projects as needed and participate in cross training to help ensure adequate backup for all key roles in the HR functional area.Perform other duties as assigned.
Job Requirements

  • Requires graduation from an accredited four year college or university with major coursework in Human Resources, Business Administration, Accounting, or closely related field.
  • Requires a minimum of three years of administrative support work in a Human Resources department or functional area.
  • Experience with maintaining an HR and Payroll master database preferred.
  • Knowledge of compensation systems a plus. Note: An equivalent combination of education and experience may be considered in meeting the requirements of Items 1 and 2.
  • Requires strong computer skills, including significant experience with Excel, Word and Outlook.
  • Experience with SAP HRIS preferred, or other relevant ERP HRIS experience.
  • Requires excellent verbal and written communication skills; must be an effective listener.
  • Requires ability to interface well with all employees and maintain positive working relations.
  • Must be able to maintain the highest degree of confidentiality regarding day-to-day Human Resource and Payroll matters and matters arising from ad hoc inquiries and projects.
  • Must be well organized and able to manage multiple tasks concurrently.
  • Must have proven ability to maintain accurate data, meet deadlines, and exercise good judgment.
  • Must be able to perform at a high level with minimal supervision.
  • While performing the duties of this job the employee will generally work a standard 40 hours per week; however, employee must be able to work overtime without notice on an ad hoc basis.
  • Some overtime is to be expected around the calendar year end, late December and early January.
  • Must meet attendance standards.
  • Must pass post offer medical exam, including drug screen, and background verification (may not apply to current employees).
