Summary:

  • Global Supply Chain Support Specialist will be performing administrative duties as well as entry level procurement and logistics actions.
  • Initially will be responsible for projects or programs which require more administrative responsibilities.
  • Employee is expected to learn the procurement & logistics function through individual initiative and company provided growth opportunities.
  • Supports global tasks related to procurement, logistics support, property management, inventory control, issue and receipt.
  • Supports Item Master database on all procurement material requisitions.

Essential Job Functions:

  • Provide administrative support to CIO and Global Supply Chain Directorates (Procurement/Logistics) staff.
  • Responsible for the management, modification, and maintenance of Procurement Purchasing Card (PCard) Program, this includes managing the program in compliance with company policies and guidelines.
  • Serves as the liaison between purchase cardholder, vendor and issuing bank and develops and administers training on appropriate usage of the card.
  • Facilitate payment to card issuer by validating monthly statements/preparing/submitting expense to Accounts Payable for approval. Processes new card applications, and processes card cancellations for exiting staff
  • Prepares, transcribes transfers, systemizes, and preserves both written and computerized communications
  • Interfaces with budgeting and procurement personnel records to include active management of delegation of procurement of authorities and maintaining an accurate record of active personnel assigned directly to the Global Supply Chain and those who are dotted-line.
  • Manages Unauthorized Procurement Actions and provide metrics as required by the Procurement Manager.
Performs a variety of office duties such as:

  • Operating office machines, storing, distributing, accounting for stores of material; distributing mail and delivering messages; filing, taking phone calls, scheduling meetings, making travel arrangements; records and tracks minutes and action items for meetings as assigned; etc.
  • Engages in procurement and logistics activities as assigned by the Procurement and/or Logistics Manager.
  • May be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
  • Assists in warehousing audits and transportation of product to customer providing support to property teams
  • Upload status shipping info in logs/systems; expedites w/ suppliers to resolve issues on lead/delivery times
  • Support Item Master database to support all procurement material requisitions along with additions/deletions of existing item master
  • Investigate and respond to inquiries regarding distribution and shipping between global shipping points
  • Verify accuracy of incoming and outgoing property & material shipments and orders I/A/W directives
  • Maintain appropriate records and prepares reports; maintain records of materials in inventory and on order; and update information in the property/material system to maintain auditable records
Security Clearance: Must be able to obtain and maintain Secret clearance
Knowledge & Skills: Knowledge of the supply chain operations: Procurement, Property, Material and Logistics.
