General Responsibilities:
Payroll:- Processing Semi-monthly & Bonus payroll including verifying timekeeping, tracking Personal & Vacation, expense payments, entering employee change requests such as taxes, benefits, as well as updating personnel information for review by CFO.
Benefits:
- Administer benefits including Personal and Vacation tracking, enrolling/terminating employees on various benefit plans, providing new employee benefits information, answering employee questions in regards to benefits, processing monthly insurance invoices and assisting employees with insurance claims.
- Working with our Broker to resolve issues for Agency staff and resolve issues in benefits system.
- 401k, Profit Sharing and ESOP administration, census, audit and 5500 filing. Setup and administer annual open enrollments for all benefits. FSA & HSA tracking and enrollment.
Compliance:
- Assist with the administration of COBRA, FMLA, OSHA and unemployment, data mining for federal and state reporting. California Sick Leave tracking. W2 & Federal ACA Reporting and working with Payroll provider to issue appropriate forms. Providing management reports on turnover, overtime tracking, performance reviews and other reports as assigned.
- Establish and maintain I-9 files and other HR-related files to provide for accuracy and safekeeping in accordance with federal and state record keeping guidelines. Assist in the filing of employment visas and renewal as needed.
- Other HR items: Coordinate with HR Specialists and ensure completion of new hire paper work and orientations, schedule requested training, track and maintain accurate Anti-Harassment training records.
- Maintain hard-copy personnel files to document personnel actions and to provide information for payroll and other uses.
- Assist Accounting and other Operations teams as needed. Other duties as assigned.
Qualified candidates will have:
- Works with and reports to CFO & President. A minimum of 2+ years professional experience working with the payroll software within a human resources department. Experience with ADP preferred.
- Experience in an Advertising or Service Company preferred. Highly motivated individual who is able to work independently.
- Strong organizational skills, detail oriented, excellent follow-through and the ability to multi-task.Continuous improvement approach towards work processes.
- Proven experience dealing with and maintaining confidential information.Approachable, professional and able to work in a highly confidential environment.
- Ability to identify and resolve problems in a timely manner and develop/present alternative solutions.
- Excellent communication skills both oral and written. Must be proficient in Microsoft Office products, including Word, Excel, and Outlook
