Executive Assistant to the CEO Loc:Mill Valley, CA

Budget $: 100,000 - 200,000

DUTIES AND RESPONSIBILITIES:

  • Plans and directs all administrative activities for the organizations CEO and Board of Directors
  • Manages CEOs calendar
  • Coordinates national and international travel
  • Makes flight, hotel and car rental reservations in accordance with company policies
  • Creates travel itinerary and schedules in accordance with authorized travel requests
  • Acts as point of contact between top management and employees or other stakeholders
  • Acts as gatekeeper for the CEO
  • Creates presentations/maintains spreadsheets
  • Modifies and update reports and graphics by compiling data from various sources for presentations, monthly review meetings, and other presentations as requested
  • Preps background for meetings
  • Maintains call logs for CEO
  • Responsible for review and completion of departmental expense reports
  • Participates in weekly (or more frequent) 1:1 meetings with CEO to plan the week ahead, provides information and deliverables to help CEO be more productive, and reprioritizes projects in the queue
  • Attends various executive meetings to keep pulse on business and help â??connect dotsâ? between others in the company
  • Ensures clear action items and follow-up after the meeting

COMPETENCIES AND QUALIFICATIONS:

  • 5+ years in administrative role supporting top executives utilizing Microsoft Office
  • Experience with interfacing with Board of Directors and preparing presentations for board meetings
  • Instills confidence and exhibits maturity and professionalism
  • Must be detail-oriented with the ability to multi-task in fast-paced environments- excellent time management skills, including the coordination of complex executive meetings
  • Advanced written and verbal communication skills with the ability to communicate clearly and precisely
  • Experience successfully streamlining and simplifying processes
  • BA/BS degree or equivalen
