Together, let\'s advance the world of minimally invasive care.Job DescriptionPrimary Function of Position:The Ion Sr Marketing Events & Communications Specialist will report directly to the Director of Marketing. This individual will oversee the successful execution of our strategies to engage and deliver our key brand/value proposition messages to our customers through events and will ensure event execution exceeds internal and external customer expectations while staying within stated budgeted guidelines.Roles & Responsibilities:â?¢ Guide US Marketing Team(s) on best practices for event management & communication strategy (includes in-person, hybrid, and virtual events)â?¢ Develop the strategy for all events in collaboration with key stakeholders (the Ion marketing and sales teams)â?¢ Develop and manage the US Ion event calendar and plan for key activities and various functional meetingsâ?¢ Plan auxiliary meetings during tradeshows and marketing events (e.g. pre-show strategy meetings, focus/user group meetings, post-grad courses, symposia) as well as attend key regional conferences to support logistics on-site when needed (event set-up, physician registration, AV and F&B coordination on-site)â?¢ Identify deadlines and manages work-load accordingly, including prioritizing tasks, and coordinating and communicating activities with Creative Services and Brand team through the internal Workfront processâ?¢ Plan and facilitate logistics for all events, including guest lists, venue preparation, presentation materials, entertainment, transportation, equipment, decorâ?¢ Research, select, and facilitate contracts with each vendor and venue for each event including catering, photography, hotel blocks for accommodations, workspaces, etc.â?¢ Make site visits, and lead pre-event and post-event meetings when necessary (such as planning meetings and post-mortems)â?¢ Maintain and build a comprehensive database of industry contacts, vendors, and venuesâ?¢ Troubleshoot and handle any issues that arise on the event dayâ?¢ Communicate with employees and internal stakeholders before, during, and after each event.â?¢ Ensure all meeting attendees receive necessary information about the event in advance and any prep materials.â?¢ Manage all logistics for tradeshows including show services, shipping, coordinating marketing materials and collateral, badge registration, etc. for tradeshows 10x30 and belowâ?¢ Attend and manage all logistics for tradeshows in collaboration with us Exhibit House for all tradeshows 20x20 and aboveâ?¢ Prepare and ship portable displays & mobile systems to regional conferences as requested by the sales force and marketingâ?¢ Responsible for budget oversite and expense tracking for all marketing eventsâ?¢ Venue sourcing and housing block managementâ?¢ Create travel and registration websites for marketing eventsâ?¢ Manages tradeshow and marketing event leads and reports a summary report with key insightsâ?¢ Organizes event marketing project meetings with cross-functional stakeholders including post-event debrief that captures what worked well and areas of improvementâ?¢ Supports the planning and execution of our-led meetings e.g. National Sales Meeting, usersâ?¢ Work is based in the Sunnyvale office, Atlanta Office, or remote although regular (30-40%) travel is expected.QualificationsSkills, Experience, Education, & Trainingâ?¢ Bachelorâ??s degree or equivalent experience in marketing/communications and/or administrationâ?¢ Minimum 8 years of tradeshow and/or event management experienceâ?¢ Ability to forecast event costs and maintain a working budgetâ?¢ Demonstrated ability to analyze data and report key insightsâ?¢ Experience in a complex organization that supports a variety of key stakeholders and can collaborate, build and maintain excellent working relationships across the organizationâ?¢ Excellent prioritization and time management skillsâ?¢ Strong organizational & project planning skillsâ?¢ Provocative idea generator, resourceful, self-starter, comfortable working autonomously with a strong sense of urgency and work ethicâ?¢ Proven success in managing external vendors and suppliersâ?¢ Vendor negotiation experienceâ?¢ Strong interpersonal skills; ability to work with and manage cross-functional teams to reach common project goalsâ?¢ High proficiency required in the use of Microsoft Office, especially Microsoft Word, Excel, and PowerPoint, as well as Microsoft Outlook.â?¢ High proficiency in cventâ?¢ Excellent written and verbal communication skillsâ?¢ Ability to manage multiple tasks under tight deadlines and with minimal supervisionâ?¢ Travel required 30-40%.
